Customer education begins after basic onboarding and continues as roles, workflows, and products evolve. Its purpose is not to reproduce product documentation in video form. A strong program helps customers build judgment and perform valuable work without unnecessary dependence on support or a single internal expert. That makes education a capability system with content, practice, community, measurement, and governance.
Prioritize customer jobs with real consequences
Combine search terms, support themes, implementation notes, and interviews to identify work that is frequent, consequential, and difficult. Describe the learner, starting conditions, task, and acceptable result. “Understand reporting” is vague; “build and share a weekly exception report without administrator help” can guide a lesson and an assessment.
Keep education distinct from the initial onboarding flow. Onboarding should reach first value with the least necessary instruction. Education supports deeper capability after that point: advanced workflows, governance, new-role enablement, and recurring operational practice. Linking the two experiences is useful, but duplicating the same introductory material creates confusion about which source is current.
Design role-based paths with visible prerequisites
Administrators, operators, managers, and executives have different decisions and permissions. Build short paths around those roles and state prerequisites before enrollment. Allow experienced learners to demonstrate competence without sitting through every introductory lesson. Provide a route back to reference material at the moment of work, because a course completion date is not a reliable memory system.
Use practice and feedback, not passive exposure
Explain a concept briefly, demonstrate it in a realistic context, then ask the learner to perform or diagnose a task. Give feedback that explains why an answer or action works. For high-consequence configuration, use a safe environment or reversible exercise. Completion can show participation, but an authentic task shows whether the learner can transfer the knowledge into work.
Design for accessibility from the start. Provide captions and transcripts, keyboard access, sufficient contrast, descriptive link text, and formats that work on narrow screens. Avoid encoding meaning through color alone. Test representative lessons with assistive technology rather than relying only on a checklist after production.
Measure capability and service outcomes responsibly
Use a measurement chain: participation, task performance, application in the product, and the service outcome the program intends to support. Compare learners only when groups and exposure are reasonably comparable. A drop in support contacts may indicate successful education, but it could also indicate that help became harder to reach, so pair volume with resolution and customer-effort evidence.
Govern content like a maintained product
Every learning asset needs a subject owner, version or last-reviewed date, source links, and a trigger for review when the product changes. Archive obsolete material and redirect durable links to the current resource. Publish release notes for material changes. A smaller maintained library is safer and more useful than a large catalog where customers cannot tell which instruction still applies.
Give learners a visible support path when instruction does not match their environment. Capture the lesson, role, product version, attempted task, and obstacle so the report can improve both education and the underlying workflow. Review these reports with product and support teams. Repeated questions may show a weak lesson, but they may also reveal a product design that training should not be expected to compensate for.
Pilot each path with a small, representative learner group before broad release. Observe where instructions, examples, permissions, or practice environments diverge from real work, then record the revisions and evidence behind them.
